Finding Documents Easily with eXite®
Have you ever used eXite® Online Services (www.exite.net) to search for information on sent or received business documents, but did not have any transmission references (e.g., eXite® Interchange ID or data exchange reference) but only the document numbers (e.g., order number or invoice number) as search criteria? – No problem, you can easily find the documents you are looking for.
Enhanced Parsing Functions in eXite®
eXite® is equipped with extended parser functions which, in addition to the envelope information required for transmission, also parse out further basic information from the messages (= business documents) contained in the course of processing the EDIFACT/EANCOM data sent. This includes message references (UNH references), message types (e.g., ORDERS), document numbers (e.g., order numbers) or reference numbers for previous documents (e.g., referenced despatch advices in invoices).
All this information can then be used as filter criteria in the inbound or outbound section of your mailbox.
For your document search, for example, go to Mailbox Outbound and open the filter bar on the right-hand side of the screen. Then expand the “Message Detail Filters” group.
In the dropdown that appears, you can then select the type of information you want to filter by.
You can choose between the message header, the document number, and document references. Depending on the value selected in the main dropdown, corresponding input fields with the possible filter criteria are then available. This enables general searches as well as detailed searches.
Efficient Document Search with eXite® Filters and Auto-Complete Functions
If, for example, a document is to be found using the order number, this is entered in the “Document Identifier” field of the “Document Number (BGM)” filter. In addition, the “Document Name Code” can be specified to ensure that only orders and not other business document types (e.g., invoices, despatch advices, etc.) with the same document number are found. For this purpose, the “Document Name Code” field is equipped with suggestion and auto-complete functions. Simply start typing the type of your document number (e.g., ord for order) and a list of possible values will appear, from which you can then select “220 – Order” and then start the search using the “Filter” button.
Another use case is the search for an invoice for a specific despatch advice. In this case, the “References (SG1/RFF)” filter must be used. In the “Reference Code Qualifier” field, start typing the type of reference number, i.e., des for dispatch advice number. The appropriate selection options are then immediately displayed and you can select “AAK – Despatch Advice Number”. In the “Reference Identifier” field below, simply enter the despatch advice number you are looking for. A search started via the “Filter” button then returns all business documents in which the despatch advice number in question is referenced.
The basic information parsed by eXite® from the business documents can not only be used as filter criteria, but is also displayed in the interchange summary views. To do this, simply open an interchange summary by clicking on the corresponding interchange line in the inbound or outbound section of your mailbox.
In the “Messages” tab at the bottom of the page that opens, you will then find a list of all the business documents contained in the interchange and the basic information parsed from them.
The codes and qualifiers used in the message data are displayed there in readable form, but are also shown in brackets. The actual numbers are listed under single quotation marks.
