If your company is a supplier to the German federal government, then there will be an important change for your invoicing. Federal agencies in Germany will no longer accept paper invoices, but require e-invoices instead.

In Germany, companies are required to submit e-invoices to federal authorities since 27 November 2020. In Austria, businesses that provide services or deliver goods to the federal government have been required to submit electronic invoices in eBInterface format since 2014.

The company’s joint project with EDITEL Hungary started in the fall of 2019 and was concluded in January 2020. During the process, two types of invoicing options for clients were developed. One option is the connection to the EDI system, in which case the data exchange takes place directly within the system.

Since 18 April 2020, German local authorities and state governments are legally required to accept electronic invoices from their suppliers. On the federal level, this is already the case. For the supplier side, the phase of voluntary electronic invoicing will soon be over.

For service providers to the government (suppliers and/or invoice issuers), the most important deadline is 27 November 2020. Before then, they can opt to provide their invoices electronically. After that deadline, they will be required to do so. This applies both to German companies and to Austrian companies that have a business relationship with German authorities.

Based in Székesfehérvár, the leading car rental company Nelson ltd. offers long-term car rental services. Around 90% of the company’s clients are SMEs. Given this background, the introduction of PDF invoices was an obvious choice, as it would simplify the invoicing process and save time and resources.

This year, 550 billion invoices are expected to be printed around the world. According to the “2019 Billentis Study,” roughly 90 percent of these invoices are still paper invoices. Gerd Marlovits, the CEO of EDITEL Austria, calculates that a full transition to EDI could save at least 495 billion sheets of paper for invoices alone.

For CURA, EDI also plays an important role in its international business. “There is no faster flow of documents between two systems than in EDI transactions,” said Gerhard Kaiser. The company uses EDI for invoice processing with a total of five countries via the payment provider MARKANT.
